What your callers hear

Your phone rings first. If you can't get to it, the AI receptionist answers, says it's an AI, and asks what you'd ask. Here's an example call to Ellie's Landscaping.

  1. AI receptionist

Hi, you've reached Ellie's Landscaping. Ellie's out on a garden job right now. I'm an AI assistant and this call is transcribed so I can pass on your message. How can I help?

  2. Caller

Hi. I'm after a quote for a new patio at the back of the house.

  3. AI receptionist

Happy to help. Roughly how big is the area you'd like paved?

  4. Caller

About four metres by five, where the lawn is now.

  5. AI receptionist

Thanks. How would Ellie get to the back garden? Is there a side gate, or is it through the house?

  6. Caller

There's a side gate, and there's room on the drive for a skip.

  7. AI receptionist

That's useful. Can I take your name?

  8. Caller

    It's Martin.

  9. AI receptionist

Thanks, Martin. What's the postcode area?

  10. Caller

    BS7.

  11. AI receptionist

Let me read that back: B S 7. Is that right?

  12. Caller

    Yes.

  13. AI receptionist

I'll text you a link so you can send photos of the garden. Ellie can come and measure up for the patio on Tuesday afternoon. Would 3pm suit you?

  14. Caller

    Great.

  15. AI receptionist

Thanks, Martin. You're pencilled in for Tuesday at 3pm to measure up for the patio, and Ellie will confirm by text.

Built around how landscapers work

  • Storm damage flagged

If a caller says a fence has blown down or a tree has fallen across a drive or path, it flags the call as urgent and alerts you straight away. It tells them to keep clear and ring 999 if anyone's at risk. It never replaces 999.

  • Quote details first

What they want doing, roughly how big the garden is, side gate or through the house, parking and room for a skip. You can plan the visit before you ring back.

  • Photos of the garden

It texts the caller a link to send photos of the garden and the way in, so you know what fits through the gate before you go.

  • Through the busy season

In spring and summer, when the phone doesn't stop, it pencils in site visits from your calendar. You confirm each one by text when you down tools.

How calls go for a landscaper

The spring and summer rush

Winter is quiet. Then the first warm weekend arrives and everyone wants a patio, a new fence and a lawn by June. That's the same time you're busiest on site, with a cutter in your hand and no way to answer.

The AI picks up the calls you can't, says it's an AI and takes the details. It offers times from your calendar and pencils in site visits for you to confirm by text. You go through them in Keystone at the end of the day, instead of ringing back a list of numbers from memory.

Quotes need size, access and photos

Most calls are quote requests: patios, fencing, turfing, planting and full garden designs. To price them you need a rough size, what's there now and how you'll get materials in.

Access matters as much as size. The AI asks whether there's a side gate or if everything comes through the house, whether there's parking close by, and whether there's room for a skip or a delivery on the drive. Then it texts the caller a link to send photos of the whole garden, the area for the job and the way in. You see the slope, the old shed and the narrow alley before you go.

Garden design enquiries take longer. The caller often has ideas but no plan yet. The AI asks what they'd like the garden to be used for, whether there's a budget in mind and when they'd like the work done, then passes it all on. If you've added answers about what you do and don't take on, like tree work or ponds, it can tell callers.

Regular maintenance

Some callers want ongoing work: mowing, hedges, borders, a tidy every few weeks. The AI asks what needs doing, how often and how to get in, and texts you the lot. On the Receptionist and Pro plans, it recognises returning callers, so a regular customer isn't treated like a stranger.

Storms and fallen trees

After high winds, the calls change. Fences are down, panels are in the neighbour's garden, or a tree has come down across a drive. The AI flags these calls as urgent and alerts you straight away. If something has fallen, it tells the caller to keep clear and ring 999 if anyone's at risk. It never replaces 999.

Questions it can ask

You choose and approve the questions. A few that work well for landscapers:

  • What would you like doing: a patio, fencing, turf, planting or regular upkeep?
  • Roughly how big is the garden, or the area for the job?
  • How do we get to the garden: a side gate, or through the house?
  • Is there parking nearby, and room for a skip or a delivery?
  • Is this a one-off job or regular maintenance?
  • When would you like the work done?

Photos it asks for

Callers get a text with a link to send pictures, and they land in Keystone with the call.

  • The whole garden

A wide shot from the back door, showing the space and any slopes.

  • The area for the job

Where the patio, fence or new lawn will go.

  • The way in

The side gate, path or alley, so you know what fits through.

  • The front

The drive or the street, for parking and skip space.

Questions from landscapers

It answers the calls you can't, asks your quote questions, sends a photo link and pencils in site visits for you to confirm. You go through them in Keystone at the end of the day.

Only prices you've approved. If you have a set rate for something, it can tell callers. Anything else, it says you'll quote once you've seen the garden.

It flags the call as urgent and alerts you straight away. If a fence or tree has fallen, it tells the caller to keep clear and ring 999 if anyone's at risk. It isn't an emergency service and never replaces 999.

Yes. It asks what needs doing, how often they'd like a visit and how to get into the garden, then texts you the details. On the Receptionist and Pro plans, it recognises returning callers.

Yes, if you add them to your approved answers. For example, it can tell callers you're registered with TrustMark. It only says what you've approved.

A person at Arcscribe sets it up for you: we get your new number, register it with the phone regulator and test it. While you wait, you can set up your greeting, your services and your calendar in Keystone.

Yes. Keep your existing number: we forward the calls you miss. You turn on call forwarding on your phone, so missed calls go to your Arcscribe number, and we give you a simple guide for it. Moving your number over to us completely (porting) isn't offered yet.

It depends on the plan: the pricing page has the current prices. We'll email you 3 days before your trial ends. If you don't cancel, we'll charge your first month + VAT when the trial ends.

Yes, any time, in Keystone. Cancel during the trial and you won't pay anything. On a paid plan, your plan runs to the end of the month you've paid for.
